This post addresses common questions my customers have regarding how to load a branded eMail into Event Center.  The confusion lies around HTML.  I hope this will make loading your branded eMail as simple as feeding your cat!

  • The first thing you need to know is that the person in your company who has "Site Administration" privileges for your site is the only person who can create "templates."  There are special requirements regarding HTML that WebEx will "read".
    • Contact Support at:  866-229-3239 for assistance
  • All other users can make simple modifications to the email templates the "Site Administrator" creates by simply clicking the "edit" button and changing the language embedded in the HTML.
  • Read the user manual regarding WebEx's %VARIABLE% field structure.  All variables within percents are pre-defined by WebEx and will only import variable fields from Event Center.  These variable fields can be modified, but only according to the variables listed in the user manual - downloadable within Event Center.
  • All of the email dialogue boxes in WebEx contain HTML.  You do NOT have to know HTML to load your branded eMail campaigns into WebEx.
  • You can easily convert any document you have created in any software program into HTML.  Some common publishing software is:
    • Adobe
    • Microsoft Word
    • Microsoft Publisher
    • Many, many, others
  • For the purposes of this discussion, assume you have just created your email in Microsoft Word:
    • >File
    • >Web Page Preview
      • This launches your Word document as a web page in your browser
    • >View
    • >Source
  • You are now viewing your Word document in the native HTML source - and you didn't have to learn HTML!   Yippeeeee!
  • Copy all of the HTML source - ctrl A > ctrl C
  • Paste into your email dialogue box in event center.
  • Make certain your HTML conforms to WebEx criteria outlined in the Site Administrator's guide
  • Insert the WebEx variable fields into your email
    • Registrant
    • Attendee
    • Date
    • Time
    • etc.

That's all there is to it!  Your branded eMail is now loaded and ready to be mailed to your audience.
